Summary:
We are seeking a highly organized and detail-oriented Contract Administrator to manage and oversee contractual obligations related to our commercial WAV operations, with a specific focus on contracts funded by the Federal Transit Administration (FTA).
As a Contract Administrator, you will be responsible for ensuring compliance with FTA regulations, coordinating contract activities, and maintaining effective communication with internal and external stakeholders.
Your role will play a crucial part in ensuring the successful execution of FTA-funded contracts and the overall efficiency of our commercial WAV operations.
Responsibilities:
Contract Management:
Review, analyze, and interpret FTA-funded contracts and associated documents to ensure compliance with laws, regulations, and organizational policies from pre solicitation to post-award contract administration.
Stay updated with FTA regulations, guidelines, and policies pertaining to commercial vehicle contracts.
Adhere to a comprehensive contract management system to monitor contract performance, milestones, deliverables, and amendments.
Track key contract dates, and milestones to ensure timely completion and adherence to contractual requirements.
Collaborate with relevant departments to identify and resolve any contractual issues, disputes, or non-compliance matters.
Serve as a point of contact and participate in audits, inspections, and compliance reviews.
Stakeholder Management:
Establish and maintain positive working relationships with internal stakeholders, including operations, engineering, finance, legal, and procurement teams.
Liaise with external partners, dealers, contractors, and vendors involved in FTA-funded projects to ensure effective coordination and collaboration.
Facilitate effective communication within the office, ensuring information flow and collaboration between teams and departments.
Conduct regular meetings, both internally and externally, to communicate contract updates, address concerns, and facilitate project progress.
Documentation and Reporting:
Maintain accurate and up-to-date contract files, documentation, and records related to all procurements, including FTA-funded contracts.
Prepare reports, summaries, and presentations on contract performance, compliance, and financial aspects for management review.
Identify trends, potential risks, and opportunities associated with FTA-funded contracts and provide proactive recommendations.
MINIMUM
Qualifications:
Bachelor's degree in Business Administration, Contract Management, or related field.
Experience or coursework in contract management preferred.
Strong analytical and problem-solving skills, with acute attention to detail.
Strong understanding of contract development, negotiation, and management principles.
Excellent organizational skills with the ability to manage and prioritize multiple tasks effectively.
Proficient communication and interpersonal skills to effectively collaborate with internal and external stakeholders.
Efficient in the use of Microsoft Office products (Word, Outlook, and Excel) and applicable financial and/or organizational software.
